Project Life cycle and Organization

Proj. Life Cycle is a collection of generally sequential and sometimes overlapping project phases name and the no. are determined by the mgmt.

provides the basic framework for managing the proj. regardless of the specific work involved/

Characteristics of Proj. Life Cycle

1          * starting of the project                         milestone or when finishing will get the project charter
2          * Organizing and preparing                               milestone or deliverables , will get the Proj. Mgmt Plan
3          * Carrying out the proj.                         Accepted Deliverables
4          * Closing the project                             Archived prj. Docs

during (1) cost and staff level is low, (3) is peak and goes down to low when (4)
Stakeholder influence, risk, uncertain is high during (1)  and gradually down
cost of changes is low in the being and high when end

Product Life Cycle

Generally sequential and non-overlapping, product life cycle have one or more projects
            Last phase is product retirement

Project Phases

Division within a project to give extra control to effectively manage
it is not a Proj. mgmt process Group
to be segmented into logical subsets

Close phase ends with some form of transfer or handover as phase deliverable
Imp      also referred as Phase exits, milestone or phase gates or  decision gates or stage gates or kill points

A Mgmt review is often held to reach a decision to start the activity of a phase

A project phase is close with review of deliverables

Stakeholders
persons or organization whoa re actively involved in the proj. or whose interests may be positively or negatively.

Customers/users
may b internal or external who directly use the project/project

Sponsor
            Financial resource
serving as spokesperson to higher mgmt
significant in charter and initial scope
when beyond the control pf PM, sponsor serves as an escalation path
also involved in phase-end review, go/no-go edecision when risks are high

            Portfolio manager
high lebvel governance of a collection of projects or programs
            Acts as proj. selection panel
review investment , values and risks

Specialities are sub-divided into functional Organzation: Electrical engineering , Mechnical Engineering
each function org. is an independent

It includes all the process related assets like informal plan, procedure, polics and guidelines

Basics of PMP

What is Project?
It is a temporary Endeavor undertaken to create a unique product or result
            A project  can be
Product : Component fot itself and input to other component
Service : A business that perform production or distribution
Result: Such as an outcome (trend analysis, reports)

What is  Progressive Elaboration?
It involves  continuously improving and detailing a plan as more detailed and accurate estimates become available. Proj. mgmt plan is iterative and goes thru Progressive elaboration thru'out life cycle

What is Project Mgmt?
is the appln of knowledge skills, tools and techniques  to project activities to meet the proj. requirements
with 42 logical Project mgmt processes
            5 Processes group
            Process groups
                        Initiating
                        planning
                        executing
                        monitoring and controlling
                        closing

Balancing the completing project constraints includes
            Scope
            Quality
            schedule
            budget
            resource
            risk
relationship of one factor is affected, other is being affected
if schedule is shortened, budget for resource is being allocated. If not , quality is being affected

What is Organizational planning ?
Impacts the projects by means of project priorization based on risk, funding and strategic plan/
            can direct the funding

 What is Portfolio?
collections of programs, project and other work related are grouped togetther to achieve the objectives

            One or more strategic planning

Identifying , developments proj. methodologies and standards
            Coaching, mentoring, training
managing project policies, procedures, templates (organization Process Assets)
            Coordination across proj.s

What is Project Mgmt and Operations Mgmt?
Operations are ongoing execution of activities that produces the result or same activities
            Eg for Operations
manufacturing , pruduction operation, accounting operations
Project requires Project Mgmt and Operation requires Business process mgmt or operation mgmt
Project Mgmt can intersect with operation
            * At closure of project
            improvement of operations
knowledge transfer at the end of project

Role of PM, Functional, operations Mgr

PM to achieve project objective , The five main powers of PM are are expert, formal, referent, penalty, reward.
FM : providing mgmt oversight for an administrative area
OM: responsible for facet of the core business.

Enterprise Project Management addressed in Organizational Project Mgmt Maturity Model(OPM3)

What is Enterprise Environmental Factor?

Refers to both internal and external factor that surround or infuence prject success
may enhance or constrain proj. mgmt process
may have positive or negative influence on the outcome

            marketplace condition
            stakeholder risk tolerance
            political climate
            organization established communication channels
            proj. mgmt info system
commerial DBs(industry risk info system, risk dbs)
